Pharming, a rapidly growing international biopharmaceutical company, aims to professionalise its procurement processes worldwide. A few years ago, the organisation implemented the ERP system SAP S/4HANA. During this implementation, the primary focus was on deploying the Purchase to Pay (P2P) process rather than the entire Source to Pay (S2P) chain. In the next phase of Procurement, Pharming has decided to gain better control over the entire process, including Sourcing and Contracting activities, while also emphasising the simplification and optimisation of the current P2P process. Pharming wanted to assess whether its existing systems would be sufficient or whether a new S2P solution should be considered as a suitable alternative. The expertise of Spendlinq has been engaged to supervise and execute this project.

The challenge

As a globally operating company, Pharming was looking for an identical end-to-end process for the entire organisation to get a better grip on procurement and speed up invoice processing. It therefore needed a user-friendly solution that could grow with the organisation. At the start of the project, it had not yet been determined whether the existing systems would actually need to be replaced by a new global S2P system. This analysis was part of the project, which is still ongoing.

The aim

Pharming needs a professional and uniformly designed S2P system that encourages users to use approved suppliers and contracts. This will significantly reduce the number of new suppliers and unverified purchases. The system should also enable (early) insight into financial commitments and a better use of budgets. By improving the quality of the ordering process, Pharming wants to move towards ‘straight-through processing’ of invoices. They also want to use the system to develop a standardised sourcing process. In addition, it will be important to offer employees a user-friendly ordering system in an integrated platform. An additional advantage will be that several existing systems will be able to be phased out, which will have a positive effect on the organisation’s system costs.

The approach

Spendlinq guided and supported Pharming in the preliminary research, selection process and Proof of Concept for the new S2P solution (Coupa). Implementation started in early 2025. The project group and steering committee are working closely together to successfully roll out the solution in the organisation. Spendlinq is responsible for project management. The project includes coordination with stakeholders, process and system owners and software suppliers. End users of the new system have been involved early on and receive support through training and communication.

The result

With the new solution, Pharming is ready for the future and now has a solid foundation for the further professionalisation of the Procurement department. Coupa offers opportunities to improve the quality of the ordering process and streamline invoice processing into one seamless process. To achieve this, it will be necessary to generate as many purchase orders as possible. This will only work if the system is user-friendly and able to cover each procurement category with its own process flow. The system will eventually also contribute to a better use of budgets and give insight into budget information. This will not only increase cost awareness within the organisation, but also lead to a reduction in procurement costs.
