In the longer term, infrastructure partner Van Gelder aims to redefine its entire ERP environment – an ambitious project that will take several years to complete. However, the Procurement department needed a short-term solution for contract management. The existing systems within Van Gelder did not meet the minimum requirements and offered no suitable alternative. That’s why in 2024, the organisation decided to select and implement a new Contract Lifecycle Management (CLM) solution. Spendlinq was asked to support and supervise this project.
Van Gelder wanted to go live with a professional contract management system in just three months, and it would have to be rolled out across various operating companies. To achieve this, the initial focus was on the digital management of current contracts, so that the right information would be available to the entire organisation at the right time and place.
The new solution would need to give the organisation better insight into which contracts (existing and new) are in place and who their owners are. In addition, there was a clear need for better control over contract management, including automatic alerts on contract expiry dates, no automatic renewals, and a better grip on notice periods. The new system would have to make contracts easily accessible to relevant users within the organisation, but also encourage interdepartmental cooperation in order to make better use of ongoing contracts and benefit from economies of scale in price negotiations.
In cooperation with the Procurement Manager and employees from various operating companies, Spendlinq carried out and supervised the selection process and the implementation of the new CLM solution Contractify. The project included supervision of the selection process from shortlist to final supplier, as well as coordination with stakeholders (and the software supplier) to arrive at a system setup that would be optimally aligned with the processes and needs of the organisation. Spendlinq also provided support in training the employees and played an important role in supervising the change process.
With the going live of the new solution, Van Gelder is taking an important step towards greater transparency and control in the procurement process. By recording and managing contracts, the organisation has a better picture of commitments made and when actions are needed. The solution helps employees to take action when a contract expires and supports the organisation in identifying which activities are under contract. This has led to better insight into the total procurement portfolio, facilitating purchasing planning. Thanks to Spendlinq’s approach, Van Gelder’s employees have quickly adopted the system, and a growing number of contracts are now being managed using Contractify.
